When it comes to payroll transactions, accuracy and attention to detail are crucial. However, there may be instances where you realize the need to make changes to a submitted transfer. Can I Edit Submitted Payroll Transactions?

Once you have submitted a Payroll transfer request (read the steps here), it is important to note you cannot edit the transaction. This is because the submission initiates a workflow for approval and processing. Both the Authorized Personnel and the Approver are unable to make any modifications to the submitted transaction. Therefore, it is essential to review and double-check all the details before submitting the Payroll transaction request to avoid any kind of errors.


However, if the Approver rejects Payroll transfer request, the transaction is canceled and you can recreate the transaction. When the Approver rejects the transaction, they may provide reasons for the rejection. This feedback can be valuable for the Authorized Personnel to understand the required changes. Can I Cancel Submitted Payroll Transactions?

As an Authorized Personnel, if you find yourself in a situation where you need to cancel a Payroll transaction after it has been submitted, yes you can! However, if your submitted Payroll has been released by the Releaser, you cannot cancel your transaction. As long as the status of your transaction is still “Pending Approval”, “Scheduled”, or “Payment Delayed”, you are still able to cancel the request. It's crucial to act promptly if you wish to cancel a transaction, as once the funds are released, cancellation becomes no longer possible.


As a Releaser, you also have the ability to cancel Payroll transaction requests in the 'Scheduled' and 'Payment Delayed' states only. You can find more information on how to cancel scheduled payments in this article


In this article, we will run you through the simple steps to cancel a Payroll transaction request by Authorized Personnel, either scheduled or direct transaction.


Cancel Submitted Payroll Transaction in Jack Portal

Authorized Personnel can cancel their Payroll transfer request only using Jack Portal by following these simple steps:

  1. In Jack Portal, click Transactions, then inside the Transaction page, you can see the list of your created transactions. Select the Payroll request that you want to cancel (for easier tracking, you can filter Type = Payroll).

You can only cancel ongoing requests (request with Status = Pending Approval, Scheduled, Payment Delayed). You cannot cancel requests that are “In progress” or “Completed”.


  1. You can see the details of the Payroll such as List of Employees,  Amount, Number of transactions, Total amount, and Transaction ID. At the bottom of the page, you can click Cancel Payroll.

  1. A confirmation prompt may appear to ensure you want to proceed with the cancellation. Ensure that this is the correct transaction you would like to cancel. Input your cancellation reason, then click Cancel Request to confirm your cancellation regarding the Payroll transaction request.

  1. Finally, you have canceled a submitted Payroll transaction request successfully. 

  1. An email notification will be sent to the Approvers who have approved your request.

  1. You can check the list of your canceled Payroll transaction requests by going to Transactions in Jack Portal and filter by Type = Payroll and Status = Cancelled.

  1. If the status of your Payroll request has changed to “Cancelled”, rest assured that your transaction will not proceed, and the funds will not be released. You can recreate the transaction by following the easy steps here.
