How to Create Between Jack Transfer

Create Between Jack Transfer in Jack Portal


Anyone who is assigned as a Requester can create a balance transfer request between Jack accounts from Jack Portal (not available in Jack App yet), which then will go through the approval workflow by Approver and Releaser. Requester, Approver, and Releaser have been appointed since the beginning using the approval workflow (read here).


For Non-ultimate users

There are 5 simple steps to create a Between Jack transfer request in Jack Portal::

  1. Log in to your Jack Portal, and you can initiate transfers in two (2) ways:

i. Click on the Create button located on the top right corner of Jack Portal, then select Between Jack.

ii. Click on the Transfer button in the “Company Balance” section, then select Between Jack.

  1. Fill in the Jack ID of the company you want to transfer to. Our system will automatically look for the Jack ID input and show the finder result in real-time. You will see the Jack ID associated with the name of the company. If it’s correct (marked with a green tick), click on it then Continue. For more information about Jack ID, read this article.

    Please note that when you have selected the recipient you have the option to change it by clicking on the Change button if you wish to make the transfer to another company.

  1. Fill in the input details. It is essential to enter the transfer amount you want to send, add any notes for the transfer (optional), and choose the transaction category (optional or mandatory depending on your setup). After completing these details, click Continue.

The Transaction Category field is available once your company activates the Category feature. To learn how to do this, refer to our article.


           

  1. Before submitting your request, carefully review the transfer balance amount, transaction details and transfer notes. You cannot edit or make any further changes once it’s submitted. Check it again for the last time, then click Submit.


  2. Congrats! Your Between Jack transfer request has been submitted successfully. Wait a while for Approvers and Releasers to review your requests. Monitor your transaction status in Jack Portal or Jack App by clicking on the Transaction menu (for easier tracking, filter Type = Between Jack).

For Ultimate Users

  1. Log in to your Jack Portal, and you can initiate transfers in two (2) ways:

i. Click on the Create button located on the top right corner of Jack Portal, then select Between Jack.

ii. Click on the Transfer button in the Dashboard menu, then select Between Jack.

  1. Fill in the Jack ID of the company you want to transfer to. Our system will automatically look for the Jack ID input and show the finder result in real-time. You will see the Jack ID associated with the name of the company. If it’s correct (marked with a green tick), click on it then Continue. For more information about Jack ID, read this article. 


  2. Fill in the input details. It is essential to enter the transfer amount you want to send, add any notes for the transfer (optional), select the source of funds (either Primary Bank Account or VA Pocket - ensure you have sufficient funds for transfer. Otherwise, please top up first.), and choose the transaction category (optional or mandatory depending on your setup). After completing these details, click Continue.


The Transaction Category field is available once your company activates the Category feature. To learn how to do this, refer to our article.


           

  1. Before submitting your request, carefully review the transfer balance amount, transaction details and transfer notes. You cannot edit or make any further changes once it’s submitted. Check it again for the last time, then click Transfer.


  2. Congrats! Your Between Jack transfer request has been submitted successfully. Wait a while for Approvers and Releasers to review your requests. Monitor your transaction status in Jack Portal or Jack App by clicking on the Transaction menu (for easier tracking, filter Type = Between Jack).



Review Between Jack Transfer Request as an Approver

After Requester submitted the request, the transaction status will remain Pending Approval. It means there’s the action required from Approver and Releaser to approve and release the payment for that request. Approver, and Releaser have been appointed since the beginning using the approval workflow (read here). Approve or reject a transaction can be done easily via Jack Portal and Jack App.

Approve or Reject Between Jack Transfer Request in Jack Portal

  1. Log in to Jack Portal, then navigate to the Task menu located on the left sidebar. Within this section, you will find the Require Approval section, which provides a list of transactions that need to be reviewed and approved by you as the approving authority. Select a transaction or several transactions (tick the box to select some) to start reviewing. In this article, we’ll only guide the approval process for one request, you can read here if you want to review several requests at once.


  2. A transaction detail window will pop up, review it thoroughly. If you decide to reject a transaction, click the Reject button. you can fill in the reason for rejection before clicking the Reject Request button. Once you click the Reject Request button, you will be directed to a secured layer page where you can enter your PIN and Confirm your rejection. This action can not be undone, be careful!

If the Approver chooses to reject the request, the request status will be updated to "Canceled".


  1. If you decide to approve a transaction, make sure the transaction details and the total amount is correct. Then, click the Approve button and you will be directed to a secured layer page where you can enter your PIN and Confirm your approval.


  2. Congratulations! You have successfully approved a Between Jack transfer request. Close the page and review other requests.

The Between Jack transfer request status will remain in "Pending Approval" until it is approved by the Releaser. Only then the transaction will be sent to the recipient, the request status will be updated to "Success".


Approve or Reject Between Jack Transfer Request in Jack App

  1. Open the Jack App, in the Home menu, you will be able to see the pending tasks, as well as alerts and attention items. Click on See all to view all pending tasks.


Ultimate users

Non-ultimate users

  1. Click Require Approval.



  1. Choose the Between Jack transfer transaction that you wish to review. Select a transaction or several transactions (tick the box to select some) to start reviewing. In this article, we’ll only guide the approval process for one request, you can read here if you want to review several requests at once.



  1. You can see the details of the Between Jack transfer, Decide whether to Approve or Reject it.



  1. If you choose to approve the Between Jack transfer request, a confirmation slider will appear from the bottom of the screen, click Approve to confirm the balance transfer approval.



  1. Input your Jack PIN correctly.



  1. Congratulations! You have successfully approved the Between Jack transfer request.



  1. However if you choose to reject the request, you will be prompted to fill in the rejection reason for the Between Jack transfer. Click Reject to proceed to the next step.

  1. You have successfully rejected the Between Jack transfer request.



Approve or reject a transaction request can also be done via the Transactions menu by selecting the transaction you want to approve or reject, then do the similar approval process from there.



Release a Between Jack Transfer Request as a Releaser

After the Between Jack transfer request has been approved from the Approvers, the transaction status is still Pending Approval and the last step is getting the approval from Releasers. Releaser is a special type of Approver who possesses the authority to release funds for approved transactions, enabling the completion of the financial transaction. Learn the difference between Approver and Releaser here. Approve and pay or reject a transaction can be done easily via Jack Portal and Jack App.

Release or Reject Between Jack Transfer Request in Jack Portal

  1. Click the Task menu located on the left sidebar. Within this section, you will find the “Release Payment” section, which provides a list of transactions that need to be reviewed and approved by you as the approving authority. Select a transaction or several transactions (tick the box to select some) to start reviewing. In this article, we’ll only guide the approval process for one request, you can read here if you want to review several requests at once.


  2. A transaction detail window will pop up. Review it thoroughly. If you decide to reject the transaction, click the Reject button. You can fill in the reason for rejection before clicking the Reject Request button. This action cannot be undone, so be careful!

If the Releaser chooses to reject the request, the request status will be updated to "Canceled".


  1. If you decide to approve and pay the transaction (release the transaction), first ensure that the transaction details and the total amount are correct. Then, click the Approve & Pay button. You will be directed to the Confirm to Pay page, where you can select your preferred method of payment. Once you have selected the payment method and clicked the Pay button, you will be directed to a secure page where you can enter your PIN and click Confirm to release your payment.

Payment scheduling for Between Jack transfer is not an option. Once the Releaser approves and completes the transaction, the balance transfer will be automatically disbursed.


Ultimate users

Non-ultimate users

For Ultimate users, you will have the option to choose between the Primary Bank Account and the VA Pocket as your method of payment. However, for Non-ultimate users, the only available option is the Main Balance (also known as the VA Pocket).


           

  1. Finally, you have approved and released the payment for a Between Jack transfer request successfully. Click the Close button and start reviewing other approval requests.

    The Between Jack transfer request status will be updated to "In Progress" and will be updated to "Success" when it is paid to the recipient according to the SLA (real-time).


Release or Reject Between Jack Transfer Request in Jack App

  1. Open the Jack App, in the Home menu, you will be able to see the pending tasks, as well as alerts and attention items. Click on See all to view all pending tasks.


            Ultimate users


Non-ultimate users

        2. Select Release Payments.




  1. Choose the Between Jack transfer transaction that you wish to release. Select a transaction or several transactions (tick the box to select some) to start reviewing. In this article, we’ll only guide the approval process for one request, you can read here if you want to review several requests at once.



  1. You can see the details of the Between Jack transfer. Decide whether to Approve & Pay or Reject it.

  1. If you decide to approve and pay the transaction (release the transaction), first ensure that the transaction details and the total amount are correct. Afterwards, select your preferred method of payment. Then, click the Approve & Pay button. 


Payment scheduling for Between Jack transfer is not an option. Once the Releaser approves and completes the transaction, the balance transfer will be automatically disbursed.


Ultimate users

Non-ultimate users


For Ultimate users, you will have the option to choose between the Primary Bank Account and the VA Pocket as your method of payment. However, for Non-ultimate users, the only available option is the Main Balance (also known as the VA Pocket).

  1. Input your Jack PIN correctly.



  1. Congratulations! You have released the payment for the Between Jack transfer request.

  1. However if you choose to reject the request, you will be prompted to fill in the rejection reason for the Between Jack transfer. Click Reject to proceed to the next step.

  1. Your Between Jack transfer release has been rejected.

Approve or reject a transaction request can also be done via the Transactions menu by selecting the transaction you want to approve or reject, then do the similar approval process from there.


Minimum and Maximum Amount for Between Jack Transfer
For balance transfers between Jack accounts, the minimum amount is IDR 10,000, and there is no maximum transfer limit. You have the flexibility to transfer any desired amount, and the process incurs no transaction fees. 

Where Can I See the Between Jack Transfer Transaction?
You can conveniently view the details of your Between Jack transfer transactions on the Transaction page on the Jack Portal/App. Additionally, you have the option to refine your search by filtering the transaction type specifically to "Between Jack”.

How to Export the Balance Transfer Report

  1. Click the Export button on the Transaction page and choose between "General Ledger" , "Filtered Report”, or a “Custom Ledger”


  2. If you decide to select “General Ledger”, you can choose the file format (xlsx or PDF) and specify the date range for all transactions you wish to export. Afterward, click the Export button and the file will be downloaded to your local computer.

In the downloaded report, refer to the column labeled “Transaction Category = Between Jack Transfer” in the Main Balance and Transaction Detail sheets.


  1. If you decide to select “Filtered Report”, you can apply filters to choose specific transactions for export. For example, you can select a filter like "Transaction Type = Between Jack". Afterward, choose the date range and click the Export button to download the file to your local computer.

In the downloaded report, refer to the column labeled “Transaction Category = Between Jack Transfer”.


  1. If you decide to select “Custom Ledger”, you can choose the accounting software format for exporting the ledger (currently, only Xero is available). For Ultimate users, you can select the specific account you would like to export and specify the date range of all the transactions. Then, click on the Export button to download the file to your local computer. 

For Non-ultimate users, simply choose the date range and click on the Export button to download the file to your local computer.
