After getting your cards and getting it activated, you, as a Cardholder, can actively use your card for any online and offline transactions, depending on the type of cards you have. Learn more here:


Make a Transaction Using Physical Card

Making a transaction using a Physical Card is as simple as swiping your card at any offline merchants that accept Visa Payment. After the transaction is successfully processed, you can track the transaction details inside your Jack Portal or Jack App (in the Transactions page or Card details page) the next day after transacting. These notifications serve as evidence of your successful payment process, providing peace of mind and a record of your transaction.


Make a Transaction Using Virtual Card

Making a transaction using a Virtual Card is also very simple, in case you have not familiar with it, you can follow these guidance:  

  1. Open your card credentials - Keeping it secure


To begin, it's essential to access your card credentials securely. You, as the Cardholder, can find the card number, expiration dates, and CVV on your Jack Portal or App inside Card details page (follow steps here). Remember to keep this information private and refrain from sharing it with anyone. 

  1. Paste the details at the merchant screen - A seamless process

Once you have securely obtained your card details, it's time to proceed with the transaction. The next step is as straightforward as copying the required information and pasting it into the merchant screen where you wish to make the online purchase. Take a moment to double-check that all the details you've entered are accurate. Ensuring precision in this step will help prevent any unnecessary issues or delays during the payment process. 

  1. Submit and proceed with the transaction - Making it happen

With your card details securely entered, it's time to submit the transaction. Click the relevant buttons at the merchant page to complete the payment process. Now, all that's left to do is wait for the approval notification. Once your transaction is approved, a moment of achievement sets in - your purchase has been successful!

After completing the transaction, keep an eye out for confirmation of your payment. You may receive an email, an SMS, or find the transaction details inside your Jack Portal or Jack App (in the Transactions page or Card details page) in real time. Make a Transaction Using Prepaid Card

Using a Prepaid Card is similar to a Virtual Card, with one key difference - the balance. Here's a simple, yet comprehensive guide on how to make transactions using your Prepaid Card:

  1. Ensure your card balance is sufficient for transactions


See the Card details page of your Prepaid Card in Jack App or Jack Portal, then navigate to the Top Up section. Before making any transactions, always ensure that the card balance is sufficient for your intended purchase to avoid the failed transactions. If it’s insufficient, you can top up your card balance first by following the simple steps here.

  1. Check card details - Keeping it secure

You, as the Cardholder, can find the card number, expiration dates, and CVV on your Jack Portal or App inside Card details page (follow steps here). Remember to keep this information private and refrain from sharing it with anyone. Never save these details in a public space, making sure that they remain confidential at all times.

  1. Paste the details at the merchant screen - A seamless process

Once you've checked that your balance is sufficient for the transaction, it's time to complete your purchase. Copy your card credential information from the Card details page and paste it into the appropriate fields on the merchant's screen.

See Your Card Transaction Details

Business Owners, Admins and Bookkeepers can see transaction details for all cards in their company, while Employees can only see transaction details for their owned cards. You can see this in cards with all status except ‘On Request’, ‘Pending’, or ‘Rejected’. To begin exploring your card transactions details, follow these detailed steps:

  1. Open your card and your transaction list
    Start by accessing your 
    Card details page. Inside it, you will find the Transactions button. Click the button and you will see all transactions history associated with that card.

    Alternatively, you can check specific transaction information in the Transaction menu (filter Type = Card for easier tracking), then click the transaction you wish to see in detail.


  1. Click on a specific transaction
    To dig deeper into the details of a particular transaction, simply click on it. This action will open up a wealth of information related to that specific transaction, including the date of the transaction, the merchant name, the transaction amount, transaction category, and any associated receipts or description. 


    About Card Transaction Status:

    1. Success
      The 'Success' status is the green light every Cardholder loves to see. This indicates that your transaction was completed successfully without any hitches. You've made the payment, the merchant has received it, and all is well. In your transaction history, these will be the transactions that have effectively contributed to your spending limit.

    2. Failed
      A 'Failed' status, on the other hand, is a red flag that your transaction did not go through. This can occur due to several reasons. For instance, you might have exceeded your card limit, or there could be an issue with the merchant's payment system. Alternatively, there could be an issue with the card itself, such as an expired card, incorrect card details, or even a temporary network issue. In these cases, no money is transferred, and your card limit remains unaffected. It's crucial to identify and rectify the underlying issue to ensure successful transactions in the future.

    3. Cancelled

Sometimes, immediately after a successful payment, you decide to cancel the transaction. In such instances, the status will show as 'Cancelled.' This typically happens if you've changed your mind about a purchase or spotted an error in the transaction. Once cancelled, the transaction amount gets reversed and credited back to your card limit. However, do note that the time taken for this reversal can vary depending on your card provider's policies and the merchant's processing times.
It's crucial to note that the transaction cancellation mechanism is highly dependent on each individual merchant's policies and processing times. Some may require you to do it through their platform, others may ask you to contact their customer service, and yet some might require you to fill out a cancellation form. We advise you to familiarize yourself with a merchant's cancellation policy before making large purchases or frequent transactions. Some merchants may allow immediate cancellations, while others may require a specific time window to process cancellations. Lastly, it's important to remember that 
only the Cardholder who made the transaction has the ability to cancel it. This cancellation process typically takes place within the merchant's transaction screen.

  1. Returned
    The 'Returned' status is similar to 'Cancelled' but with a significant difference: the returned request comes from the merchant, not the Cardholder. This can happen if the merchant is unable to fulfill your transaction request due to reasons like stock unavailability, service issues, or even internal errors. Much like a cancelled transaction, the reversed amount from a returned transaction is credited back to your card limit in real-time.

  1. Upload receipts, category, and description to enrich transaction information
    Inside the transaction details page, you can effortlessly 
    attach a digital copy of the receipt (max 3 receipts), assign a category, or provide a brief description to capture the purpose or nature of the transaction. This additional information not only adds context but also helps with record-keeping and expense reporting.

Failed Transactions Reasons

While the above steps should ensure a smooth transaction process, there are instances where a transaction may be failed. Here are a few possibilities:

  • Insufficient funds or over the credit limit
    If your transaction fails due to insufficient funds or exceeding the credit limit, it's important to review your available credit and adjust your spending accordingly. Consider contacting your Corporate Card Admin to discuss potential solutions or to request a temporary credit limit increaseFor Prepaid Cards, top up your card balance first upon transacting. 

  • Mismatched card details
    It usually happens in Virtual and Prepaid Cards. In the event of a failed transaction due to mismatched card details, double-check the accuracy of the CVV or expiration date entered. Sometimes, a simple typographical error can cause a mismatch. Correct any mistakes and retry the transaction.

  • Expired card or temporary block status
    Should you encounter a failed transaction due to an expired or blocked card, check the status of your card. If it's indeed expired (
    check the card details to be sure), request a new card. In case of a temporary block, you can reactivate the card again (steps here). Otherwise, if it's permanently blocked, consult with your Business Owner to understand the reason and resolve the issue promptly.

  • Suspended card

If you have not paid the card billings or the payment is overdue, we will take preventive action to suspend your card and you can not use the card for any transaction until you pay the billing. This will result in failed transactions if you are still trying to use the card.
